Reservations Agent

We are seeking a detail-oriented, analytical, and driven Reservations Agent to join our team at South Point Hotel. In this role, you will be a communication and inventory expert helping us manage individual, group, direct, travel-trade, and online reservations from initial inquiry through arrival. You will play a pivotal part in protecting guest commitments and hotel revenue through accurate booking records, inventory controls, approved rates, and timely communication, while supporting reliable forecasting, preventing avoidable overbookings, and providing operational teams with accurate reservation information.

Key Responsibilities

  • Reservation Management & Daily Controls: Respond to reservation enquiries within 24 hours across telephone, email, website, direct, and trade channels, processing bookings, amendments, cancellations, and special requests promptly while maintaining accurate guest profiles and notes.

  • Manifest Reconciliation & Group Blocks: Review the daily reservation manifest, reconcile property management system (PMS) records with interfaced bookings, and enter group blocks, rooming lists, and allocations against approved contracts while monitoring pickup and remaining inventory.

  • Occupancy & Distribution Control: Complete daily occupancy and availability checks, conduct weekly and monthly forward inventory reviews, and reconcile Room Master/PMS inventory and approved rates with SiteMinder, OTAs, GDS, tour operators, and direct channels.

  • Stop-Sale Administration: Prepare, implement, communicate, monitor, and remove stop-sales strictly on authorized instructions, updating applicable systems, notifying trade partners, and maintaining a dated and timed audit log.

  • Guest Arrival & Departmental Coordination: Prepare daily arrival and departure lists for relevant teams (including Security and Food & Beverage), and promptly communicate VIPs, groups, special occasions, packages, and transfers to Front Office, Housekeeping, and other affected departments.

  • Revenue Coordination & Reporting: Support the Monthly Reservations Recap, maintain accurate occupancy, restriction, and stop-sale records, use approved rates and inclusions, and immediately escalate rate overrides, unapproved discounts, or connectivity discrepancies.

  • Cross-Functional Collaboration: Coordinate booking requirements and inventory controls closely with the Sales & Revenue Manager, Front Office, Housekeeping, Finance, Food & Beverage, and hotel management to support effective service delivery.

Qualifications

  • Previous experience in hotel reservations, front office, sales, travel trade, or hospitality is preferred; knowledge of Barbados tourism is an advantage.

  • Strong PMS and hotel technology skills, with a solid understanding of hotel reservations, inventory management, and commercial controls.

  • Exceptional attention to detail, numerical and analytical ability, and the capacity to identify and resolve discrepancies within approved authority.

  • Strong organization, communication, and teamwork skills, with the ability to prioritize accurately under pressure and maintain timely follow-through.

  • Professionalism, accountability, sound judgment, and strict respect for guest and business confidentiality.
